This Privacy Policy explains how CoachHunter (“CoachHunter”, “we”, “us” or “our”) collects, uses, discloses and protects your personal information when you access or use the website located at www.coachhunter.com.au and any related services (the “Platform”).

CoachHunter is operated by Coach Hunting (ABN 26 596 713 269), based in Victoria, Australia.

We are committed to protecting your privacy and to handling your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

By using the Platform, you agree to the collection and use of your personal information as described in this Privacy Policy. If you do not agree, please do not use the Platform.

2. About CoachHunter

CoachHunter is an online marketplace that allows sports coaches to create profiles to promote their services, and allows students to search for, filter, enquire with, and review coaches. CoachHunter does not itself provide coaching or training services — it connects coaches and students. This Privacy Policy covers only the information we handle as operator of the Platform; it does not cover how individual coaches, clubs or other users handle information they collect from you directly.

3. What personal information we collect

The personal information we collect depends on how you use the Platform.

From coaches, we may collect:

Name

Gender (male, female, or other / prefer not to say) — required for coaches

Date of birth (to verify you meet the minimum age requirement)

Email address

Phone number

Suburb / location

Professional information — qualifications, certifications, training and experience details, sports offered, pricing, availability

Profile content, photographs and images you upload

External links you provide (e.g. social media, personal websites)

Payment and billing information when you purchase promotional features (processed by our payment provider — see Section 7)

From students, we may collect:

Name

Gender (optional)

Email address

Phone number

Suburb / location

The content of enquiries you send to coaches

Reviews and other content you submit

Automatically, when you use the Platform, we may collect:

Device and browser information, IP address, and general usage data

Information collected through cookies and similar technologies (see Section 9)

We only collect personal information that is reasonably necessary for our functions and activities. Providing some information is optional, but if you do not provide required information we may not be able to give you full access to the Platform.

4. How we collect personal information

We collect personal information:

Directly from you — when you register an account, complete or update a profile, send an enquiry, submit a review, purchase a feature, or contact us.

Automatically — through your use of the Platform, via cookies and analytics tools.

From third parties — in limited cases, such as our service providers, though we primarily collect information directly from you.

5. Why we collect and use your personal information

We collect, hold and use your personal information to:

Create and manage your account

Display coach profiles and enable students to search, filter and enquire

Enable students to filter and search for coaches, including by coach gender where a student has a preference

Facilitate communication between students and coaches

Publish reviews and coach replies

Process payments for promotional and featured listing services

Verify eligibility (including age requirements for coaches)

Operate, maintain, improve and secure the Platform

Respond to your enquiries and provide support

Detect, prevent and address fraud, abuse, and breaches of our Terms & Conditions

Comply with our legal obligations

Send you service-related communications, and (where you have consented) marketing communications — see Section 10

We will only use your personal information for the purposes for which it was collected, for a related purpose you would reasonably expect, or where you have consented, or as otherwise permitted by law.

6. Information that is public vs. private

Because CoachHunter is a marketplace, some information is displayed publicly by design. It is important you understand the difference:

Publicly visible (to any visitor):

Coach profiles — including name (or display name), gender, sports, qualifications, training and experience, pricing, suburb/general location, profile images, and external links

Reviews submitted about a coach, and the coach’s replies (displayed with the reviewer’s chosen display name)

Kept private (not publicly displayed):

Email addresses and phone numbers (unless you choose to display them on your profile)

Date of birth

Payment and billing information

The private content of enquiries sent between users

Account login credentials

Please only include in your public profile or reviews information you are comfortable being seen publicly. You control much of what appears on your profile through your account settings.

7. Disclosure to third parties

We do not sell your personal information. We may disclose your personal information to trusted third-party service providers who help us operate the Platform, including:

Neon — database hosting

Vercel — website hosting and deployment

Cloudinary — image and media hosting and delivery

Resend — sending transactional and service emails

[PAYMENT PROCESSOR — e.g. Stripe] — processing payments for promotional features

We may also disclose personal information:

To other users, to the extent necessary for the Platform to function (e.g. a coach receiving your enquiry, or your review being displayed)

Where required or authorised by law, or to a court, tribunal or regulator

To protect the rights, property or safety of CoachHunter, our users, or others

To professional advisers, or in connection with a sale or restructure of our business

We require our service providers to handle personal information consistently with the Privacy Act.

8. Overseas disclosure

Some of our service providers store and process data outside Australia (for example, in the United States or other countries). This means your personal information may be disclosed to, or stored on servers located in, overseas jurisdictions. Where we disclose personal information overseas, we take reasonable steps to ensure it is handled in a manner consistent with the Australian Privacy Principles. By using the Platform, you acknowledge that your information may be processed overseas.

9. Cookies and analytics

We use cookies and similar technologies to operate the Platform, remember your preferences, keep you logged in, and understand how the Platform is used. You can control or disable cookies through your browser settings, but some features of the Platform may not function properly if you do.

10. Marketing communications

We do not currently send marketing emails. If we introduce marketing communications in the future, we will only send them where you have consented or where otherwise permitted by law, and every marketing message will include an easy way to unsubscribe. Opting out of marketing will not affect service-related communications (such as account or transaction notifications).

11. Data security

We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. This includes technical and organisational measures appropriate to the nature of the information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

12. Data retention

We retain personal information only for as long as is reasonably necessary for the purposes described in this Policy, to comply with our legal obligations, resolve disputes, and enforce our agreements. When personal information is no longer needed, we take reasonable steps to destroy or de-identify it.

13. Accessing and correcting your information

You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete or misleading. Much of your information can be updated directly through your account settings. For other requests, contact us using the details in Section 18. We will respond within a reasonable period. In limited circumstances we may decline a request as permitted by law, and if we do we will explain why.

14. Deleting your information

You may request deletion of your account and associated personal information by contacting us. We will take reasonable steps to delete or de-identify your information, subject to any information we are required to retain by law or for legitimate business purposes (such as records of transactions). Note that content already displayed publicly (such as reviews) may be retained in de-identified form.

15. Children and young people

There is no minimum age for students using the Platform. Where a user is under 18, we expect that a parent or guardian will consent to, and supervise, that user’s registration and use of the Platform.

If you are a parent or guardian and believe your child has provided us with personal information without your consent, please contact us and we will take reasonable steps to address it.

We take the privacy of young people seriously. We will only collect personal information from a young person where it is reasonably necessary, and we encourage coaches and students to keep interactions on the Platform and to involve a parent or guardian where appropriate.

Note for your legal reviewer: Because the Platform allows minors as students and coaches who may work with children, this area warrants specific legal attention — including the developing Children’s Online Privacy Code and any obligations relating to Working with Children Checks (addressed in the Terms & Conditions).

16. Complaints

If you have a concern or complaint about how we have handled your personal information, please contact us using the details in Section 18. We will acknowledge your complaint and aim to resolve it within a reasonable period.

17. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. The current version will always be available on the Platform, and the “Last updated” date will reflect the most recent changes. Where changes are significant, we will take reasonable steps to notify you, for example by posting a notice on the Platform or contacting you by email. Your continued use of the Platform after changes take effect constitutes acceptance of the updated Policy.
